Vacancy: Procurement and Logistic Associate

1. Background

Team4UA implements humanitarian and early recovery projects across Ukraine, ensuring timely, transparent, and compliant delivery of goods, works, and services in line with donor regulations and internal procurement policies. In the context of ongoing emergency response and infrastructure-related interventions — including construction, rehabilitation, and technical activities — Team4UA is strengthening its operational capacity to ensure efficient procurement, logistics coordination, compliance with donor regulations, and proper documentation for audit and accountability purposes.

2. Position Overview

Under the supervision of the Logistics & Procurement Manager, the Procurement & Logistic Associate supports procurement and logistics processes, with a focus on inventory and asset management, delivery coordination, and documentation control. The role ensures proper receipt, registration, tracking, and movement of goods and equipment, as well as maintaining accurate records in line with Team4UA policies and donor compliance requirements.

3. Key Responsibilities

A. Goods Acceptance & Asset Management

  • Receive delivered goods and verify quantities and quality against procurement documentation.
  • Conduct physical inspections and support acceptance procedures.
  • Assign inventory numbers and ensure proper labeling of all assets.
  • Coordinate delivery schedules with procurement and technical teams.
  • Manage movement of goods between locations and track all transfers.
  • Support equipment check-in/check-out processes.

B. Inventory Management & Documentation

  • Maintain accurate and up-to-date inventory records for all assets and supplies.
  • Update information on asset location, condition, and responsible person.
  • Ensure proper documentation of all inventory movements and status changes.
  • Maintain registers, stock cards, and related logistics documentation.
  • Ensure proper filing and archiving of all inventory and logistics records.

C. Procurement & Logistics Support

  • Support procurement documentation and coordination processes.
  • Assist in preparation of payment documentation for delivered goods.
  • Coordinate with finance, warehouse, and program teams.
  • Ensure compliance with internal procedures and audit requirements.

4. Qualifications and Experience

Education: University degree in Procurement, Logistics, Civil Engineering, Construction, Business Administration, or related field.

Experience:

  • Minimum 1−3 years of relevant experience in logistics, procurement support, inventory management, or operations.
  • Experience in NGO or humanitarian/development context is an advantage.
  • Experience with asset or warehouse management is an asset.

Skills and Competencies:

  • Strong organizational and documentation skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple operational tasks simultaneously.
  • Proficiency in MS Office (especially Excel) and inventory tracking tools.
  • Strong coordination and communication skills.

Languages:

Ukrainian: fluent. English: working knowledge will be an advantage.

5. Supervision and Reporting

The Procurement & Logistic Associate reports to the Logistics & Procurement Manager and works in close coordination with procurement staff, finance team, warehouse personnel, and program teams to ensure proper logistics and inventory management.

6. Duration and Duty Station

Duration: 6 months (with possibility of extension subject to funding). Duty Station: Dnipro, Ukraine (with possible field travel).

7. Reservation: In accordance with Ukrainian legislation and subject to organizational eligibility, the position may be eligible for staff reservation (military deferment). Reservation is processed in line with national regulations and internal procedures.
