1. Background
Team4UA is a Ukrainian charitable organization established in March 2022 implementing humanitarian relief, recovery, and reconstruction initiatives across Ukraine in cooperation with international partners, UN agencies, and civil society organizations.
The IMPACT Project provides rapid multisectoral humanitarian assistance to conflict-affected populations in frontline areas and to newly displaced people. The project focuses on life-saving support within the 0−50 km frontline zone, including emergency cash assistance, in-kind distributions, health support, and evacuation services.
Due to the high-risk operational context and the multi-partner implementation model, strong project management and monitoring systems are essential to ensure coordination, accountability, and compliance with donor requirements.
2. Purpose of the Assignment
Under the supervision of the Project Manager, the Driver / Security Assistant provides safe, reliable, and timely transportation services for Team4UA staff and project activities under the IMPACTproject. The role also supports the implementation of basic safety and security procedures during staff movement, ensures proper vehicle maintenance and documentation, and contributes to safe field operations in line with Team4UA policies and Ukrainian legislation.
3. Key Responsibilities
A. Transportation & Safety
- Safely operate project vehicles to transport Team4UA staff and officials to meetings, field missions, and project locations.
- Ensure compliance with road safety regulations, including seat belt use and appropriate speed adjustment depending on road and weather conditions.
- Take appropriate decisions in case of road incidents or unforeseen situations to ensure passenger and vehicle safety.
- Ensure that the number of passengers does not exceed the legally permitted capacity.
- Follow designated routes and schedules while adapting to security advisories and road conditions.
B. Vehicle Maintenance & Control
- Maintain the assigned vehicle in good technical condition, including internal and external cleaning.
- Conduct daily checks of fuel, oil, tires, brakes, lights, and safety equipment to ensure readiness for immediate use.
- Immediately report mechanical issues or defects to the supervisor.
- Ensure regular servicing and maintenance of the vehicle according to internal procedures.
C. Documentation & Reporting
- Maintain accurate vehicle logbooks recording all trips, fuel consumption, refueling, and related expenses.
- Report and document any deviations from planned routes or schedules.
- Ensure all vehicle documents, including registration, insurance, and permits, are valid and available.
- Support transport coordination and scheduling with project teams.
- Maintain confidentiality regarding staff movement and project activities.
D. Security Support
- Follow Team4UA safety and security procedures during staff movement and field travel.
- Identify potential risks along travel routes and report security concerns to the supervisor.
- Maintain situational awareness while driving and ensure passenger safety.
- Support safe boarding and disembarkation of staff during field visits.
- Act in accordance with emergency procedures in case of security incidents.
E. Other Responsibilities
- Assist project staff with logistical arrangements during field missions and events when required.
- Perform other related duties as assigned by the supervisor.
4. Deliverables
- Safe and timely transportation provided for project staff and field activities.
- Assigned vehicle maintained in good technical condition and ready for use.
- Accurate and updated vehicle logbooks and fuel records.
- Timely reporting of incidents, vehicle defects, and security concerns.
- Compliance with Team4UA safety procedures during staff movement.
- Reliable transport support for project implementation and field missions.
5. Qualifications and Experience
Education
Secondary technical education (engineering, mechanical or similar) or higher education.
Experience
- Minimum 5 years of professional driving experience without accidents.
- Previous experience working with NGOs or humanitarian organizations is an advantage.
- Excellent knowledge of traffic rules and vehicle maintenance.
Technical Skills & Competencies
- Strong driving skills and ability to ensure safe transportation under challenging conditions.
- Good understanding of vehicle maintenance and safety checks.
- Situational awareness and ability to identify potential risks during travel.
- High level of responsibility, punctuality, and reliability.
- Ability to work independently and follow internal procedures.
Languages
- Fluency in Ukrainian is required.
- Working knowledge of English is an advantage.
6. Supervision and Reporting
The Driver / Security Assistant reports to the Project Manager and works in close coordination with project teams to ensure safe and reliable transportation support for project activities.
7. Duration and Duty Station
- Duration: 6 months, with possible extension subject to funding.
- Duty Station: Dnipro, Ukraine, with travel to project locations as required.
8. Reservation
Subject to Ukrainian legislation and organizational eligibility, the position may qualify for staff reservation (military deferment) in accordance with national regulations.
